How it works

How does hotelspot work in a nutshell?

hotelspot connects three elements: the guest app, the G-commerce Manager sales panel and access points in the hotel (QR codes in rooms, Digital Pod screens). The guest scans a code or taps the screen, browses the offer, orders and pays from their phone. The order goes straight to the right department, and you see sales and reports live in the panel.

Which apps does hotelspot run in?

On the guest side: the Guest App in the phone browser (no installation) and, optionally, hotelspot Mobile for iOS and Android, plus Digital Pod screens in the hotel. On the team side: G-commerce Manager in the browser (reception, F&B, spa, owner), the hotelspot staff mobile app for orders and requests, and a KDS screen for the kitchen.

Does the guest have to download an app?

No. The Guest App opens in the browser after scanning a QR code in the room or on a Digital Pod screen, with no App Store, no sign-up and no login. The guest can also move a session from Digital Pod to their phone with a single scan. The hotelspot Mobile app is an extra for guests who prefer to keep the hotel's offer on their phone.

How does the guest get to the app?

Usually via a QR code: in the room, at reception, in the restaurant and spa. You generate the codes in the panel and the hotel receives ready-to-print materials. In the lobby and common areas the offer is shown on Digital Pod, from which the guest can also move the session to their phone.

How does multilingualism work in hotelspot?

hotelspot automatically detects the guest's device language and displays content in the appropriate language version. Hotel manager can easily add and edit translations in the admin panel. The system supports communication with hotel guests in any language, making it easier to serve properties welcoming guests from different countries.

How do push notifications work?

Push notifications in hotelspot are available in the guest app. The hotel can send messages to all guests or selected groups, for example information about promotions, events, reminders or important organizational messages. Click & Push feature allows sending notification with one click, streamlining quick communication with hotel guests.

How does the defect reporting system work?

The defect reporting system in hotelspot allows guests to quickly submit reports through mobile app or Digital Pod device. Each report goes to the appropriate hotel department, which sees its details and can update completion status in real-time. Report history is saved, making it easier to analyze technical problems and improve guest service quality.

Outlets and e-payments

What is an outlet in hotelspot?

An outlet is any point of sale in the hotel: room service, bar, restaurant, spa, bike rental, transfers or a shop. Each outlet has its own price list, opening hours, responsible staff and reports in G-commerce Manager. Price list changes appear in the guest app instantly.

How does an order reach the team?

An order from the guest app or Digital Pod goes straight to the outlet that fulfils it: the kitchen sees it on the KDS or in the hotelspot staff app, the spa in its treatment calendar, reception in the panel. The team sets the status (accepted, in progress, delivered) and the guest follows the progress in their app. No phone calls, no paper notes.

How do e-payments work?

Payments are handled by Stripe, a leader in online payments. The guest pays in the app by card, BLIK, Apple Pay or Google Pay and receives a confirmation by e-mail. Funds go to the hotel's account and the system settles sales per outlet automatically, so reception has nothing to book manually.

Does the hotel need its own Stripe account?

Yes, payments are processed on the hotel's Stripe account, so the money goes directly to you. We help you set up and verify the account during rollout; it usually takes one day. Stripe provides PCI DSS compliance, so card data never passes through the hotel.

Can the guest charge the room or pay in cash?

Yes. Besides online payment in the app, you can enable “charge to room” or pay on delivery for selected outlets. You set the payment method per outlet in G-commerce Manager, and reports show sales broken down by payment method.

What do the sales reports look like?

In G-commerce Manager you see live revenue, reports per outlet, day and month, and the best-selling services. Every report exports to Excel in one click, and the data can be passed on to accounting.

Launch and rollout

What does the launch look like step by step?

We start with a free 20-minute online demo. After signing the contract (electronic signature) you get access to the panel and a rollout manager. You configure the hotel, rooms, outlets and price lists; we help with payments and Digital Pod screens. Then QR codes go into the rooms and the first orders arrive.

How long does the rollout take?

Usually about a week: from panel setup, through installing Digital Pod screens, to the first sale in the guest app.

What does the hotel need to prepare before rollout?

Property and room data, menus and outlet price lists (ideally with photos and allergens), house rules and guest information, a contact person on the hotel side, and stable Wi-Fi where the Digital Pod screens will stand. You upload everything in the panel without a developer, and the rollout manager guides you through the process.

Do we need an IT department to run the system?

No. G-commerce Manager is designed for reception, F&B and spa teams, you update price lists and outlets yourself.

Does hotelspot integrate with other hotel systems?

Yes. hotelspot offers API and integrations with popular PMS (Property Management System) systems. This allows connecting the platform with tools used in the hotel and streamlining guest service and information management. For specific integrations, it's best to contact our team to discuss property needs.

Can we start with a pilot?

Yes. After the demo we launch a 30-day pilot in your hotel with no commitment. You can start with a single outlet, for example room service, and add further services along the way.

What support do you offer after implementation?

After hotelspot implementation, we provide full technical support and post-sales care conducted by experts from hospitality and IT industries. All questions, development needs and reports can be sent through support window in administrator panel. Standard response time is 24 to 48 hours from receiving the report. Thanks to constant online synchronization, most updates and fixes can be implemented remotely, without engaging hotel staff.

Digital Pod

What Digital Pod device sizes are available?

Digital Pod devices are available in two sizes: 24" and 32". The 15" model is a compact version, 24" is the most universal, and 32" works as a premium solution for larger hotel spaces. All devices offer the same functionality and differ only in screen size.

Does Digital Pod work offline?

Digital Pod requires internet connection to work properly. However, the device is designed for stable operation in hotel environment and supports Wi-Fi and Ethernet connections. In case of short interruptions in network access, the system automatically reconnects, minimizing risk of device operation disruptions.

What does Digital Pod device installation look like?

Digital Pod device installation is simple and intuitive. The system can be set up as a freestanding device on an elegant stand or wall-mounted. The complete set with instructions is delivered directly to the hotel, and assembling the device from ready components usually takes about ten minutes. To start up, you only need a stable surface, standard electrical outlet and Wi-Fi access. Thanks to Plug & Play solution, the device is ready to work almost immediately after connecting.
